AI Lead Mail Process: from sheet row to print-ready PDF
Built from your process description and run end to end on four demo leads. Each row marked for the mailing becomes a personalised German letter with a clean website screenshot, an AI-written service sentence and the best-fitting testimonial. It is saved as a PDF in Google Drive, and the results are written back to the sheet.
1:32, no audio, captions on screen. A real run: the loop is shown at 3× speed, and the final results are shown from the actual sheet values and PDFs the run produced.
Your six steps, as built
1Reads the Google Sheet, keeps only rows marked for the mailing, and processes them one row at a time.
2Copies the Google Doc template into a folder, names it after the lead, and fills company, address and the Herr/Frau salutation.
3Takes a 16:10 website screenshot with cookie banners and pop-ups removed, and places it at the placeholder.
4AI names the lead's 2–3 key services. They are written back to the sheet and used to build the sentence from your template. The prompt lives in the sheet, so you can edit it.
5AI picks the best-fitting testimonial out of 10 (also kept in the sheet) and places it in the letter.
6Exports the letter as a print-ready PDF into a separate Drive folder and writes the PDF link and status back to the row.
Sample output (demo data)
The companies are real websites, used only to demonstrate the screenshot and analysis. The contact names, sender and testimonials are placeholders. At handover the template and testimonials are replaced with yours.
